Email drop

Every organization has a unique email address. Forward a supplier invoice, a bank statement or a till receipt to it, and the document is filed in the vault with its analysis already running.

Your address

The address lives under Settings → Inbox, and on mobile under Organization → Drop address. It combines your company name with a random suffix: the first makes it recognizable when you read it out to a supplier, the second keeps it from being guessed. You can issue a new one at any time.

Note

Changing the address retires the old one immediately. Email sent there afterwards is no longer received — tell the suppliers you had given it to.

What happens to each attachment

Every file is classified on its own, from the message subject, the sender and the file name.

  • Purchase invoice: a draft supplier invoice is created and OCR starts, exactly as if you had uploaded it from the app.
  • Cash receipt: a receipt is created and analyzed, then counts towards your cash on hand once confirmed.
  • Bank statement: a draft statement is created and analyzed; the account is recognized by its IBAN.
  • Sales invoice: the document is filed in the vault's Sales invoices folder. No invoice is created — your sales are issued from React Box.
  • Everything else, and anything whose nature is not certain: the document is filed under Other and flagged for review. Reclassifying it takes one click and restarts the right pipeline.

Who may write to the address

A drop address receives accounting documents; it does not accept just any sender.

  • Your organization's members are approved by default.
  • So are the staff of the firm your file is linked to: forwarding a client's invoice is part of their daily work.
  • You can add supplier addresses so their mail is processed without any intervention.
  • An unknown sender is never refused in silence: the message is kept and waits for your approval in the inbox. One click processes it and adds the address to the list.

Limits and good practice

A message is accepted up to 20 MB, attachments included — the same limit as uploads from the app. Accepted files are PDFs and images; signature logos and other parts embedded in the message body are ignored. Attachments count towards your storage quota like any other deposit.

Note

Forward the original email rather than retyping its contents: the subject and the sender are what makes the document classify correctly.
