Folders

Every vault is organized into folders. Fourteen of them are created automatically when an account is opened — you can add your own and enable or disable a validation workflow per folder.

Two types of folders

  • System

    Fourteen predefined folders created automatically when your vault is set up. They cover the most common Moroccan accounting needs. You can't delete them, but you can hide them.

  • Custom

    Folders you create yourself: invoices from a specific supplier, a project folder, archives for a given fiscal year. They can be nested across multiple levels.

Create a custom folder

From the vault root, click "New folder". Give it a name, choose an icon from the palette (more than forty Lucide icons available, in multiple colors), and, if needed, indicate a parent folder.

  • The icon and color make it easier to spot the folder visually in the list.
  • You can nest folders across multiple levels — for example, one folder per fiscal year inside an "Archives" folder.
  • Creating or editing a folder requires the folder:manage permission. Read-only access requires folder:view.

Enable or disable status tracking

Every folder has a "Status tracking" switch. By default, it's enabled on folders where your agency must process each document (invoices, banking, fiscal, payroll) and disabled on archive folders (contracts, IDs, legal).

Tip

When tracking is enabled, every document goes through the full cycle: Draft → Pending → Processed. The agency can reject the document or request an action.

Note

When tracking is disabled, documents stay editable at all times and no frozen status applies. Handy for reference documents that are consulted but never processed.

You can flip this switch at any time from the folder settings, without losing any data.

Delete a folder

Custom folders can be deleted. The deletion is soft: the folder and its documents move to the trash for thirty days, leaving you time to undo if needed. System folders can't be deleted but can be hidden.
