Requested documents

The document request is the bridge between messaging and the vault. The agency (or the business) explicitly requests a document, the other party responds by filing it — all without leaving the conversation.

What it's for

Instead of writing "send me the Maroc Telecom invoice for March", you open a structured document request. It appears as a special message in the conversation, with a title, a description, an optional due date, and a suggested vault folder. Your counterpart is notified and clearly sees what they need to provide.

Create a request

From the message composer, click the "Request a document" icon. Four fields structure the request.

  • Title

Short and explicit — "Maroc Telecom invoice March 2026" rather than "invoice".

  • Description (optional)

Add specifics: period, supplier, expected amount, context.

  • Due date (optional)

Tells your counterpart when you need it. Displayed prominently on the message.

  • Suggested folder

Pick the folder where the document is expected. It always belongs to the business's vault — the only one the accounting firm and its client share.

Lifecycle

A request moves through three statuses.

  • Pending

The request was just opened. The other party is notified and can start preparing the document.

  • Fulfilled

The responder pointed to a vault document in reply. The request shows the link to that document.

  • Canceled

The requester no longer needs the document — for example because they got it through another channel. The message stays but is marked canceled.

Fulfill a request

When you receive a request, click "Respond" on the message, then designate the document that answers it. As a business you pick from your own vault; as an accounting firm you pick from the vault of the client who asked — if the document isn't there yet, file it from their vault first, then designate it. The request moves to "Fulfilled" and the requester is notified.

An accounting firm and its client share a single vault: the business's. A document delivered by the firm is filed there and its client sees it right away — and the firm only reaches the folders the client has not hidden from it.

The bridge with the vault

A document request is never isolated: it connects to the vault at two moments.

  • At creation time, the suggested folder attaches the request to that vault folder: the folder then shows a pending counter and lists the documents it is waiting for.
  • At fulfillment, the request carries a direct link to the vault document. Clicking it takes you to the document with its full history.
  • The whole activity stays logged on both sides: the conversation shows the request, the vault shows the upload with its activity log.
