The vault

# Overview

The vault is the shared workspace where your business deposits its accounting documents and where your accounting firm processes them. One source of truth, a complete history, and controlled access.

## What the vault is for

Centralize, structure, and circulate your accounting documents between you and your accountant — without resorting to email or WhatsApp. Every upload, share and download leaves a dated trace.

* Centralize: purchase invoices, sales, bank statements, contracts, payroll and tax — all in one place.
* Exchange: your accountant retrieves what they need without chasing you by email.
* Track: who filed what, when, who downloaded it, and who commented on it.

## Ownership rule

Only business-type organizations own a vault. An accounting firm never has its own vault: it accesses its clients' vaults through the access links each business configures. The business chooses what its agency can see and can revoke that access at any time.

Note

If your organization is an accounting firm, you won't see the "Vault" tab in your dashboard. You access your clients' vaults from the "Clients" section.

## The core building blocks

Five concepts structure the whole vault. The rest of the documentation relies on this vocabulary.

* Folders  
Fourteen system folders cover the most common accounting needs. You can add your own on top.
* Documents  
The unit of exchange: a name, a folder, one or more files, tags, and comments.
* Files  
Raw documents (PDF, images, Office) hosted encrypted on Cloudflare R2.
* Tags  
Labels you define to retrieve your documents according to your own logic.
* Activity log  
Every action leaves a trace — upload, adding or removing a file, moving, tagging, sending to the trash.

## Quick start

Four minutes is enough to share your first document with your accounting firm.

1. Open the vault  
From your dashboard, click "Vault" in the sidebar.
2. Pick a folder  
Drag your PDF or photo into the matching folder — for example, Purchase invoices.
3. Check what the firm sees  
The document is visible to your accounting firm as soon as it is uploaded. You can hide it or restrict it to certain roles from its side panel.
4. Follow what happens  
The document's activity log lists every action, with its author and timestamp. Discussion happens in the document's comments or in the messaging.
